The Oregon Department of Human Services seeks two Administrative Specialist 1 professionals to join the Pupil Transportation & Fingerprinting Office. You will play a key role in ensuring program integrity by processing critical applications, managing records, and providing direct support to school districts.
What You'll Do
- Process criminal history checks for applicants and volunteers.
- Manage records and guide school districts on program requirements.
- Assist with Activity Driver and Athlete Agent applications.
- Coordinate school site reviews and support training workshops.
- Perform LEDS background checks and review school bus, activity driver, and athlete agent applications to determine eligibility.
- Process applications, issue permits and certificates, and communicate results to stakeholders.
- Manage the unit’s shared inbox, respond to inquiries, and maintain digital filing systems.
- Generate reports and support administrative tasks, including editing correspondence and organizing records.
- Serve as a backup for application processing and training reports.
- Model equity, inclusivity, and professionalism in all duties.
What We're Looking For
- Two years of secretarial or basic administrative support experience that includes records processing, generating documents, and gathering and sorting data.
- OR an associate degree in general office occupations and one year of experience with records processing, generating documents, and gathering and sorting data.
- OR an equivalent combination of education and experience.
- Successful completion of the CJIS and LEDS certification within 90 days from the date of hire.
Nice to Have
- Experience with Microsoft Outlook email systems and Adobe PDF markup & editing.
- Experience with Windows file management & organization.
- Flexibility and communication skills for working with a team remotely using teleconference, phone, email, and in-person methods.
- Excellent customer service skills, spoken and written.
- Successfully acquires and applies new skills or technologies within established timelines.
- Experience in evaluating and processing ODE forms.
- Knowledge of applicable OARs for pupil transportation & fingerprinting.
