Location Fully Remote | 9 AM – 5 PM EST Role Overview The Admin Assistant will facilitate daily operational workflows, encompassing email coordination, schedule optimization, meeting logistics, and comprehensive reporting. The position is critical in ensuring seamless workflow, maintaining structural organization, and empowering team members to sustain peak performance and efficiency. Key Responsibilities Email Management - Analyze, categorize, and structure inbox contents each morning. - Validate incoming messages are appropriately classified. - Identify and elevate critical communications requiring immediate attention. Calendar & Scheduling Management - Navigate calendar complexities to mitigate scheduling interference. - Detect and resolve potential meeting overlaps and conflicts. - Coordinate meeting arrangements with internal and external participants. - Dispatch invitations, distribute agendas, and modify event details as necessary. Team Support - Provide responsive assistance through Slack communication channels. - Strategically route inquiries to appropriate team members and track resolution progress. Reporting - Develop and distribute monthly comprehensive email summaries highlighting pivotal information and performance indicators. - Guarantee report clarity, conciseness, and punctual delivery. Administrative Coordination - Execute fundamental office functions including data management, document processing, and file organization. - Proactively optimize administrative processes to enhance team productivity and workflow efficiency. Qualifications Experience - Minimum 1 year administrative or assistance role experience. - Advanced proficiency with Microsoft Office Suite and Google Workspace platforms. - Working knowledge of Slack communication environment.
