Administrative Fiduciary Services was looking for an Accounts Receivable Manager

Nova 401(k) Associates is hiring an Accounts Receivable Manager to build and lead a new, dedicated AR team. This role involves overseeing the entire AR process for a firm that issues roughly 50,000 invoices annually, with a strong focus on automation, team development, and process documentation.

What You'll Do

  • Supervise, mentor, and motivate the AR team, ensuring training aligns with departmental goals
  • Produce invoices using automation and scripts to the greatest extent possible
  • Oversee accounts receivable processes including quarterly billing and monitoring of outstanding balances
  • Post client payments (checks, ACH, from 3rd Party Processors like Dex and Stripe) in a timely manner
  • Process credit card payments when necessary to resolve past due balances
  • Post record-keeper payments by source and client
  • Follow up on overdue invoices, including sending statements, resigning from engagements, and sending accounts to collections
  • Periodically reconcile workflow management and proposal systems to invoices issued
  • Answer client and account manager questions regarding invoices
  • Investigate and resolve billing discrepancies and customer disputes
  • Process client refunds as needed
  • Maintain a productive relationship with the accounting department

What We're Looking For

  • Bachelor's degree
  • Five or more years of experience in accounts receivable
  • Three years or more of experience supervising AR staff
  • Experience working with coders and with writing code and/or specifications for code
  • Experience writing procedures
  • Process-oriented approach

Nice to Have

  • Knowledge of APIs
  • Experience with ChargeOver or other invoicing software

Team & Environment

You will lead a newly established, small, and professional AR team, transitioning from a structure where functions reported directly to the Accounting Manager.
