RTM Business Group is hiring an Accounts Payable Specialist

This role is responsible for managing end-to-end accounts payable operations with a strong focus on accuracy, compliance, and efficiency. You will process invoices, verify documentation, and ensure timely payments through checks and electronic transfers, maintaining precise records in the accounting system.

Key Responsibilities

  • Oversee full-cycle accounts payable, including invoice coding, three-way matching, and payment execution
  • Reconcile vendor statements and resolve discrepancies in collaboration with internal teams and external partners
  • Conduct monthly credit card and bank reconciliations
  • Support month-end closing procedures and assist with audit readiness
  • Verify proper documentation by aligning purchase orders, contracts, and invoices
  • Monitor payment schedules to avoid late fees and maintain vendor relationships
  • Calculate and process employee commissions based on sales performance and policy guidelines
  • Reconcile commission data against sales records and generate activity reports for leadership
  • Maintain organized records of commission structures, payouts, and supporting documentation
  • Collaborate with departments to resolve payment issues and documentation shortfalls
  • Identify opportunities to streamline workflows and improve financial processes
  • Provide cross-functional accounting support across multiple business entities as needed

Qualifications

Candidates should hold a bachelor’s degree in Accounting, Finance, or a related field, along with 2–3 years of experience in accounts payable or bookkeeping. Familiarity with GAAP, tax regulations, and internal controls is essential. Proficiency in QuickBooks, Excel, Google Sheets, and other productivity tools is required. Strong attention to detail, organizational ability, and clear communication skills are critical for success.

Preferred Experience

  • Background in event or conference-based industries
  • Experience with Airtable, Everstage, HubSpot, Bill.com, or Microsoft Office Suite

Work Environment

This is a hybrid position requiring two days per week in-office across NY, NJ, or CT. The organization supports flexible work arrangements and offers ongoing training, internal mobility, and team travel to major cities for events.
