HireHawk is seeking a Virtual Receptionist to be the first point of contact for a busy California-based personal injury law firm. You will join a remote team supporting attorneys and clients dealing with auto accidents, slip and falls, and workplace injuries.
What You'll Do
- Answer and manage inbound calls while conducting initial client intake for personal injury cases
- Gather and accurately document caller information, incident details, and insurance data in CRM systems
- Assess call urgency and route communications appropriately to attorneys or case managers
- Schedule consultations and follow-up calls using the firm's calendar system
- Maintain confidentiality and ensure compliance with HIPAA and attorney-client privilege standards
What We're Looking For
- Minimum of 1–2 years of professional experience as a receptionist, virtual assistant, or call handler within a law firm or medical office environment
- Professional bilingual proficiency in spoken English and Spanish, with clear and articulate communication skills
- Verifiable experience using VOIP phone systems, CRM software, and digital scheduling platforms
- High school diploma or equivalent educational credential required
- Ability to accurately document caller information and incident details using standardized intake procedures
- Proven ability to assess call urgency and appropriately route communications
- Professional home office setup with reliable high-speed internet and a quiet, distraction-free workspace
- Strong emotional intelligence and empathy when interacting with distressed or injured callers
- Consistent adherence to confidentiality standards, including HIPAA regulations and attorney-client privilege protocols
- Proficiency with digital communication tools, including phone systems, email platforms, and case management software
