Position Overview
This full-time, nonexempt role reports to the Head of Human Resources and plays a central part in maintaining precise time and labor systems. The specialist ensures reliable tracking of employee hours, leave balances, and payroll data while adhering to wage and hour regulations and organizational policies.
Key Responsibilities
- Oversee and maintain timekeeping and dynamic scheduling systems, including training staff and ensuring consistent compliance
- Verify accuracy of work hours, leave records, and pay-related information for all employees
- Support adherence to federal, state, and local labor laws related to wages and working time
- Act as a primary contact for employees and supervisors on timekeeping, scheduling, and leave procedures
- Collaborate with the Finance Department and department leaders to align data and resolve issues
Qualifications
Applicants must have a high school diploma or equivalent and 3–5 years of experience in timekeeping, HR operations, or a related field. Familiarity with wage and hour regulations is essential, along with hands-on experience using HRIS and time and attendance platforms such as Paylocity. Candidates should demonstrate strong attention to detail, analytical thinking, and the ability to manage sensitive information discreetly.
Proficiency with Microsoft Office (Word, Excel, Outlook), Teams, and web-based tools is required. Excellent communication and organizational skills are critical for success in this role.
Bilingual ability in English and Spanish is a plus. Prior experience in a nonprofit or cultural institution is preferred.
Work Environment
This is a hybrid position based in New York, NY, with most responsibilities fulfilled on-site. Limited remote work may be permitted depending on operational needs and managerial approval.
Compensation and Benefits
The annual base salary is $70,000, with an hourly rate of $38.46. Overtime is compensated at one-and-a-half times the regular rate for hours exceeding 35 per week.
Benefits include 14 paid holidays annually, generous vacation and sick time accruals, and additional paid leave for bereavement and family needs. Full-time employees receive health, dental, and vision insurance, with partial premium contributions based on income and coverage level.
