Responsibilities
- Serve as a primary action officer or suspense coordinator for office taskings using systems like N-CERTS, including initiating, assigning, and monitoring tasks, consolidating responses, and ensuring timely, high-quality submissions for leadership review.
- Draft, review and edit official correspondence, memoranda, weekly activity reports, briefings, and meeting minutes.
- Prepare special or one-time reports and summaries by selecting and synthesizing relevant information from various sources.
- Provide daily operational support to office leadership, including managing calendars, scheduling meetings, and anticipating and preparing materials needed for conferences, appointments, and briefings.
- Coordinate and support office staff meetings, governance forums, and other events, including preparing agendas, distributing read-ahead materials, and tracking action items to closure.
- Initiate and complete travel and conference requests using the Defense Travel System (DTS) and Management and Execution Tracker (MET).
- Coordinate logistics for office moves and manage office supplies.
- Manage and maintain office records, SharePoint sites, and shared folders in compliance with agency policy.
- Develop and update Standard Operating Procedures (SOPs), org charts, and recall rosters.
Requirements
- Experience managing office actions, meetings, and coordinating projects
- Experience preparing and delivering briefings and writing official correspondence
- Experience with Microsoft Office, including Word, Excel, PowerPoint, Outlook, and SharePoint
- Active TS/SCI clearance; willingness to take a polygraph exam
- Bachelor’s degree in a Business or Management field and 7+ years of experience as a staff officer of administrative management, or 10+ years of experience as a staff officer of administrative management in lieu of degree
Nice to Have
- Experience with the NGA Central Electronic Requirements Tracking Systems (NCERTS), Defense Travel System (DTS), and Management Execution Tracker System (MET)
- Experience with the Defense Civilian Intelligence Personnel Systems (DCIPS)
- Experience interfacing with different personalities and senior-level personnel within the agency and across the Intelligence Community
- Data Transfer Officer (DTO) Ceritification
