Role OverviewAs a Senior Assistant Facilities Manager, you will play a key role in maintaining the efficient operation of a facility or campus. You will support the Facilities Manager by overseeing building systems, maintenance activities, and on-site personnel, ensuring all operations meet client requirements and organizational standards.
Key Responsibilities
- Lead facility staff in the absence of senior management, performing supervisory duties including scheduling, training, and performance evaluations
- Ensure daily operations—including janitorial services, life-safety systems, engineering functions, and general maintenance—are executed according to policy and client directives
- Oversee maintenance programs for both interior and exterior building conditions, ensuring properties remain safe, functional, and well-maintained
- Respond to service requests from occupants, coordinating timely repairs, cleaning, and other facility needs
- Review and manage vendor contracts, confirming pricing accuracy on invoices and ensuring compliance with insurance and service requirements
- Support budget development by preparing financial reports, tracking expenditures, and assisting with short- and long-term financial planning
- Contribute to strategic planning through the development of multi-year maintenance and cost-efficiency initiatives
- Maintain comprehensive facility records including operating manuals, compliance logs, safety documentation, and as-built drawings
- Conduct regular inspections of building systems, common areas, and equipment, reporting issues and recommending corrective actions
- Ensure adherence to local codes, ADA, OSHA, and other regulatory standards through diligent documentation and follow-up
- Coordinate claims management and support vendor compliance with contractual and insurance obligations
- Utilize CMMS and work order systems to track and resolve maintenance needs efficiently
Qualifications
Applicants should hold an Associate’s degree in facilities management, business, or a related field, along with at least three years of experience in commercial or industrial property operations. Proficiency in reading blueprints and construction specifications is required, as is strong knowledge of contract language and facility management agreements.
Strong computer skills are essential, particularly in Microsoft Office (Word, Excel, PowerPoint) and financial or maintenance tracking systems. Experience with Yardi or similar platforms is advantageous. Candidates must demonstrate capability in financial tracking, budgeting, and forecasting.
Preferred Background
- Bachelor’s degree in a relevant discipline
- At least one year of supervisory experience
- Hands-on experience in construction, engineering, or property operations
- CMMS or work order system experience
- Professional certifications such as CFM, IFMA, or BOMA accreditation
- Additional technical or engineering training
Work Environment
This is an onsite position requiring regular presence at the facility. Occasional travel between sites may be necessary, including exposure to varying weather conditions. The role demands a proactive, detail-oriented professional committed to operational excellence and safety compliance.
