About the Role
This role involves delivering comprehensive administrative assistance to senior leaders, ensuring smooth operations through proactive coordination, detailed organization, and confidential handling of sensitive information.
Responsibilities
- Manage and prioritize executive calendars, including scheduling meetings, calls, and travel arrangements
- Coordinate cross-functional meetings and prepare agendas and follow-up summaries
- Serve as a primary point of contact for internal and external stakeholders
- Handle confidential documents and communications with strict discretion
- Anticipate executive needs and proactively resolve scheduling conflicts
- Draft emails, presentations, and reports on behalf of executives
- Track and follow up on action items from leadership meetings
- Organize domestic and international business travel logistics
- Maintain up-to-date contact databases and organizational charts
- Support special projects with time-sensitive deliverables
- Streamline communication flow between departments and leadership
- Prepare briefing materials before key meetings and events
- Monitor deadlines and ensure timely completion of executive tasks
- Act as a gatekeeper by filtering requests and prioritizing urgent matters
- Assist in onboarding new leadership team members
- Manage expense reporting and documentation for executives
- Coordinate logistics for board meetings and executive offsites
- Troubleshoot technical issues during virtual meetings
- Maintain organized digital and physical filing systems
- Support crisis response coordination when needed
- Ensure compliance with internal administrative policies
- Facilitate introductions between executives and external partners
- Provide backup support to other executive assistants as needed
- Update internal tools with real-time executive availability
- Contribute to process improvements in executive operations
