About the Role

Remote Raven is looking for a Virtual Purchasing Assistant (Purchasing Admin) to digitally support our procurement function. You will be responsible for creating and managing electronic purchase orders, maintaining vendor data, and coordinating with suppliers online to ensure profitable, on-budget projects. This is a role where data accuracy and adherence to process are paramount.

What You'll Do

  • Create, submit, and update purchase orders in the ERP/purchasing system; track order status and resolve discrepancies.
  • Communicate with suppliers via email, portals, and phone for quotes, order confirmations, and delivery follow-ups.
  • Maintain accurate vendor, item, and pricing records, including catalogs and preferred vendor lists.
  • Support inventory and job buyouts by entering project-specific purchase orders and aligning pricing with awarded quotes.
  • Run and format recurring reports (e.g., spend by vendor, budget vs. actual) and publish them in internal tools.
  • Assist with digital fleet/asset tracking by updating system records based on information from field teams.
  • Ensure all purchasing activities follow internal procurement policies, approval workflows, and audit requirements.
  • Monitor market and commodity pricing for key materials and flag significant changes for the team.

What We're Looking For

  • Experience in purchasing, procurement, or administrative support, preferably in construction or electrical contracting.
  • Proficiency with Microsoft 365 tools (Outlook, Excel, SharePoint, Teams) and comfort working in ERP/purchasing and accounting tools like Sage.
  • Strong written and verbal communication skills, high attention to detail, and excellent time management in a remote environment.
  • Ability to analyze quotes, compare pricing and terms, and interpret basic cost and budget reports.
  • Reliable high-speed internet, appropriate home workspace, and ability to work within agreed-upon core business hours.

Nice to Have

  • An associate’s degree in Supply Chain, Business, or a related field.
  • Procurement certifications (CPSM, CPP, or similar).
