Jones Lang LaSalle Americas, Inc. is hiring a Property Associate. You will ensure organizational excellence by fulfilling vital administrative functions on the property team for one or multiple buildings. This role provides accounting support, maintains positive tenant and client relations, and delivers superior customer service.
What You'll Do
- Participate in processing accounts payable by reviewing and coding invoices for payment.
- Assist with accounts receivable tasks, including preparing bills, sending collection notices, and making manual billing adjustments.
- Track administrative expenses against budget and identify cost reduction opportunities.
- Coordinate document management related to lease execution, distribution, and filing.
- Track lease notification requirements to prevent missed deadlines.
- Monitor email, phones, and work order systems to provide prompt, courteous responses and direct correspondence.
- Maintain general office organization and manage incoming/outgoing mail and packages.
- Prepare and distribute general correspondence, memos, and compiled reports.
- Create and maintain accurate physical and virtual filing systems.
- Update employee, client, and customer contact databases.
- Coordinate conference room reservations and organize department lunches, meetings, events, and travel.
- Receive building access requests and coordinate access for visitors and vendors.
- Ensure tenant and contractor certificates of insurance are accurate and meet standards; track expiration dates.
- Support compliance with management and engineering operations audits through file preparation.
- Participate in new tenant welcome programs and assist with move-in/move-out procedures.
- Track and coordinate access card activation and deactivation.
- Assist in developing and implementing property and employee manuals.
- Maintain contact with building staff to ensure cleanliness and security of common areas.
- Document potential liability incidents and forward information to risk management.
- Gather W-9 forms from vendors and assist in new vendor setup.
- Assist with property budget preparation and recurring reporting.
- Support engineers with recording and billing monthly utility meter readings.
- Assist with vendor contract creation, execution, and tracking.
- Provide general ad hoc administrative support to the property as needed.
What We're Looking For
- A high school diploma.
- A minimum of 1 year of experience in commercial real estate, property teams, or office management.
- Proficient knowledge of Microsoft Office Suite and a willingness to learn new programs.
- Advanced oral and written communication skills.
- Strong attention to detail and organizational abilities.
- A self-starter who can manage multiple projects under pressure.
- Ability to work autonomously or as part of a team, interacting effectively with all levels.
- Ability to calculate figures and percentages.
- Capable of developing constructive solutions to challenges.
- Comfortable with change and uncertainty, able to shift gears and make decisions without full information.
- Ability to occasionally work flexible hours exceeding 8 hours per day or 40 hours per week.
- Regular sitting for long periods; frequent standing, walking, reaching, stooping, kneeling, crouching, or crawling.
- Reading video display terminals, order forms, and other documents.
- Lifting a minimum of thirty-five (35) pounds.
- Using and accessing stairwells during emergencies.
- Using keyboards for typing and computer input.
- Hearing, speaking, and answering the office telephone system.
