About the Role

The Patient Coordinator serves as the primary point of contact for patients, managing scheduling, records, and communication to support efficient clinical operations and high-quality patient service.

Responsibilities

  • Schedule patient appointments and procedures
  • Verify insurance eligibility and benefits
  • Maintain up-to-date patient records
  • Support clinical staff with administrative tasks
  • Respond to patient inquiries via phone and email
  • Coordinate referrals to specialists
  • Confirm patient demographics and contact details
  • Assist with check-in and check-out processes
  • Manage prescription refill requests
  • Prepare charts and documentation for appointments
  • Follow up on outstanding authorizations
  • Communicate test results per protocol
  • Handle patient billing questions
  • Escalate complex issues to supervisors
  • Ensure compliance with privacy regulations
  • Update patient status in electronic systems
  • Support patient education initiatives
  • Coordinate with labs and imaging centers
  • Track patient follow-up requirements
  • Maintain supply inventory for front desk
  • Process patient feedback and satisfaction surveys
  • Assist with onboarding new patients
  • Monitor appointment waitlists
  • Support telehealth scheduling
  • Adhere to office policies and procedures

Nice to Have

  • Associate degree in healthcare administration or related field
  • Experience with Epic or similar EHR platforms
  • Certified Medical Administrative Assistant (CMAA) credential
  • Bilingual proficiency in English and Spanish
  • Prior experience in outpatient clinics
  • Knowledge of HIPAA compliance
  • Experience handling patient complaints
  • Familiarity with telehealth platforms
