About the Role
This role supports event operations and manages relationships with speakers, handling scheduling, communications, and logistical coordination to ensure seamless delivery of programs.
Responsibilities
- Manage speaker onboarding and orientation processes
- Coordinate travel and accommodation logistics for presenters
- Serve as the main point of contact for speaker inquiries
- Track speaker commitments and confirmations
- Prepare briefing materials and presentation guidelines
- Schedule and facilitate speaker rehearsals
- Monitor speaker satisfaction and collect feedback
- Liaise with technical teams to ensure presentation readiness
- Update and maintain speaker databases
- Assist with visa documentation for international speakers
- Coordinate speaker honorariums and expense reporting
- Ensure timely delivery of event agendas
- Support session scheduling and time slot assignments
- Troubleshoot speaker-related issues during events
- Verify speaker credentials and biographical details
- Distribute promotional content to speakers
- Maintain communication timelines and follow-up schedules
- Collaborate with marketing on speaker announcements
- Support post-event speaker evaluations
- Organize speaker thank-you communications
- Ensure compliance with contractual obligations
- Manage speaker consent forms and media releases
- Facilitate accessibility requirements for presenters
- Coordinate multilingual support when needed
- Escalate critical issues to senior staff promptly
