Scalesource is seeking an Office Assistant (Customer Service & Admin) to provide virtual support for a U.S.-based swim school. This is a stable, full-time remote role where you will be central to student enrollment, customer communication, scheduling, and administrative operations, with clear pathways for long-term career growth.
What You'll Do
- Manage inbound and outbound calls, emails, and messages from families.
- Provide clear information about swim programs, pricing, and schedules.
- Convert inquiries into enrolled students and manage the entire enrollment process.
- Schedule swim lessons, coordinate class availability, and manage bookings, cancellations, and reschedules.
- Coordinate schedules between families and instructors.
- Follow up with leads and enrolled families, providing updates, reminders, and class information.
- Maintain accurate student records, enrollment status, and customer interaction notes in the CRM.
- Assist with reporting, tracking, internal documentation, and administrative workflows.
- Support coordination tasks across multiple swim school locations.
- Assist with light social media or marketing coordination when required.
What We're Looking For
- A minimum of 2 years of experience in customer service, client support, or virtual assistant roles.
- At least 2 years of experience scheduling appointments, coordinating calendars, or managing service bookings.
- A minimum of 2 years of experience handling inbound inquiries and follow-ups via phone, email, or messaging platforms.
- At least 2 years of experience using CRM systems or customer management tools such as HubSpot or similar platforms.
- A minimum of 2 years of experience managing multiple operational tasks simultaneously.
- A professional and quiet remote work setup with a PC and reliable high-speed internet.
- Strong Zoom presence and polished communication skills.
- The ability to balance client interactions with administrative responsibilities.
- Willingness to submit an introductory video as part of the hiring process.
