Responsibilities
- Manage and prioritize executive calendars, including scheduling internal and external meetings
- Coordinate domestic and international travel arrangements with attention to detail
- Prepare briefing materials, presentations, and reports for leadership discussions
- Serve as a primary point of contact for internal teams and external partners
- Handle sensitive and confidential information with discretion
- Anticipate executive needs and proactively address scheduling and logistical challenges
- Facilitate communication across departments to ensure timely follow-up
- Organize and lead logistics for executive offsites and team meetings
- Track action items and deliverables from leadership discussions
- Maintain organized systems for documents, contacts, and recurring processes
- Support onboarding and integration of new executive team members
- Collaborate with HR and finance on executive compensation and reporting needs
- Assist with board meeting preparation and documentation
- Manage correspondence including emails, letters, and internal memos
- Ensure executives are prepared for public appearances and media engagements
- Monitor deadlines and key dates relevant to executive priorities
- Act as a liaison between leadership and other departments
- Streamline administrative workflows to improve efficiency
- Support special projects as assigned by executive leadership
- Uphold professional standards in all interactions and communications
