About the Role

LifeStance Health is hiring a Medical Office Receptionist (Practice Coordinator) to manage the daily front office activities at our practice. In this key role, you will ensure quality customer service for both in-person and remote patients while supporting our clinicians.

What You'll Do

  • Create a positive work environment and support clinician and staff engagement.
  • Conduct the schedule prep process for all patients, ensuring paperwork is complete, credit cards are current, and charts are prepared.
  • Perform general office duties including sorting mail, scanning documents, managing e-faxes and shared email, and maintaining office cleanliness.
  • Communicate effectively with peers, clinicians, and patients to support care and satisfaction.
  • Provide exceptional customer service, responding quickly to patient needs and following de-escalation processes for sensitive situations.
  • Greet and check patients in and out courteously at the front desk.
  • Support patients via phone, email, and portal with billing questions, scheduling needs, release requests, and other inquiries.
  • Manage phone system queues to ensure calls are answered in a timely manner.
  • Assist patients with telehealth access, Patient Portal issues, and general troubleshooting.
  • Triage patient issues and handle urgent requests to resolution.
  • Collect all in-person and telehealth co-payments and account balances at the time of service.
  • Complete insurance eligibility verification and contact patients to resolve any issues.
  • Provide general clinician support, assisting with administrative questions and duties such as sending letters and faxes.
  • Coordinate with clinicians regarding any additional patient questions.
  • Audit clinician schedules for appointment accuracy.
  • Maintain a pleasant, secure, and motivational working environment.

What We're Looking For

  • High School Diploma or equivalent.

Nice to Have

  • An Associate's or Bachelor's degree.
  • 1+ years of experience in healthcare operations, customer service, or a similar role or setting.
