Albert & Mackenzie LLP is looking for a Legal Administrative Assistant to provide critical administrative support to approximately six Legal Assistants within our workers' compensation defense practice. You will coordinate document preparation and manage administrative tasks in a collaborative, high-performing environment.
What You'll Do
- Email and efax client correspondence and print documents to assigned partners.
- Prepare PDFs of letters with enclosures and assemble standard documentation.
- Place prepared documents into the file and perform FileNet checks to bring documents into the file.
- Assist with preparing Schedules of Records for Supplemental Reports and Trial Exhibits.
- Place and receive routine phone calls to EDD, doctor’s offices, and applicant’s Attorney’s offices.
- Log and route messages and perform other clerical duties as assigned.
What We're Looking For
- Excellent knowledge of Microsoft Outlook, Word, Adobe Acrobat, and Dropbox or other shared cloud storage.
- Skilled typing ability and strong proofreading, spelling, and grammar skills.
- Ability to interact effectively with the public, clients, and employees while maintaining confidentiality and using discretion.
- Highly organized, detail-oriented, and able to work well under pressure while juggling multiple tasks.
- Excellent verbal and written communication skills and pride in work product.
- Critical thinking skills and the ability to problem-solve.
- Ability to work collaboratively with attorneys and staff at all levels to achieve goals.
Nice to Have
- Experience with Case Management Software and EAMS.
- Prior experience as a Legal Secretary at a workers' compensation firm.
