About the Role
This role is responsible for providing high-level executive support and managing the operational efficiency of the CEO’s office. The individual will act as a trusted partner in coordinating strategic priorities, managing stakeholder interactions, and ensuring smooth internal and external communications.
Responsibilities
- Manage and prioritize the CEO’s calendar, including scheduling meetings, travel, and commitments
- Serve as the primary point of contact for internal and external stakeholders seeking CEO engagement
- Prepare briefing materials, presentations, and reports for executive meetings and public appearances
- Oversee confidential communications and ensure timely responses to high-priority correspondence
- Coordinate logistics for board meetings, executive offsites, and key company events
- Anticipate executive needs and proactively resolve scheduling or operational conflicts
- Maintain organized systems for document management and information tracking
- Act as a gatekeeper to protect the CEO’s time and focus on strategic priorities
- Support special projects from conception to execution, often with tight deadlines
- Facilitate communication between the CEO and department leaders across the organization
- Manage onboarding and transition processes for new executive team members
- Ensure consistency in messaging and alignment with company strategy in all outputs
- Track key performance indicators and executive action items for follow-up
- Liaise with external partners, vendors, and service providers as needed
- Oversee personal and professional administrative tasks with discretion
- Implement and improve operational workflows within the executive office
- Handle crisis communication support and urgent requests with composure
- Maintain up-to-date knowledge of company initiatives and industry developments
- Represent the executive office in cross-functional coordination efforts
- Ensure compliance with corporate governance and record-keeping standards
- Manage confidential data with strict adherence to privacy protocols
- Support investor relations activities and external reporting requirements
- Coordinate media and public speaking engagements for the CEO
- Drive continuous improvement in executive support systems and tools
- Foster a culture of accountability, responsiveness, and professionalism within the office
