About the Role

Washington University in St. Louis is hiring a Grant Specialist I (Remote) for its Pediatrics Central Administration. This role provides essential pre-award support for pediatric research grants, ensuring the successful preparation and submission of research proposals. You'll collaborate closely with faculty and administrators to manage the grant lifecycle.

What You'll Do

  • Perform pre-award duties for basic to moderately complex research grant proposals.
  • Work directly with faculty and Principal Investigators (PIs) on proposal preparation and submission.
  • Assist with budget development, analysis, and justification; gather information for protocols and non-technical components.
  • Serve as a liaison between the Department Chair, Faculty, and Department Administrators.
  • Coordinate proposal submissions, prepare budgets with the PI, and obtain pricing quotes.
  • Ensure accurate regulatory compliance by compiling data from various sources.
  • Compile and submit the entire grant package according to university and agency guidelines.
  • Review agency forms and prepare submission checklists for the PI.
  • Enter grant budgeting documents online as required.
  • Obtain necessary PI and institutional signatures for proposals.
  • Initiate subaward setup through the SUBS system and hand off documents to Post-Award staff.
  • Coordinate with Post-Award staff and OSRS for timely contract implementation.
  • Provide internal notice of award documents, noting special terms and committed effort.
  • Monitor and assist with submitting annual agency progress reports like RPPRs.
  • Collaborate with Post-Award staff on revised budgets.
  • Coordinate responses to internal and external requests for grant-related information.
  • Enter and maintain an online database tracking grant submissions, awards, and rejections.
  • May assist with post-award activities such as year-end processes, fund management, and approving purchasing documents.
  • Perform other duties and special projects as assigned.

What We're Looking For

  • A Bachelor’s degree or a combination of education and experience that substitutes for the minimum education.
  • 1 year of relevant experience.

Nice to Have

  • Knowledge of Research Management System (RMS), SUBS System, and agency grant guidelines.
  • Experience with accounting and computerized accounting systems.
  • Proficiency in Adobe Acrobat.
  • Strong analytical thinking and computer literacy.
  • Excellent deadline management skills.
  • Experience in grant administration and grant application processes.
  • Strong interpersonal, oral, and written communication skills.
  • Ability to learn new technologies and maintain composure under pressure.
  • Proficiency in Microsoft Office, especially Microsoft Excel.
  • Familiarity with Workday Software.

  • Compensation: $25.47 - $39.49 per hour.
