Coconut is hiring a part-time Executive Assistant/Marketing Specialist to provide comprehensive operational and marketing support. This remote role involves managing e-commerce workflows, customer communications, and digital marketing initiatives to enhance our brand and optimize our online presence.
What You'll Do
- Enter wholesale orders from PDFs/email into Shopify, including product details, invoices, and packing slips.
- Manage the CRM by entering new contacts and leads from trade shows.
- Prepare graphics for manufacturing and collaborate with graphic designers as needed.
- Create digital product mock-ups and edit photos following brand guidelines.
- Build new product listings on Faire and Shopify, uploading details and images.
- Manage the primary inbox using templates, sort emails, respond to routine inquiries, and flag priority messages.
- Track wholesale orders end-to-end, ensure timely fulfillment, flag delays, and communicate updates.
- Order products for custom and stock buyers by managing supplier relationships.
- Draft, schedule, and send quarterly and monthly wholesale and retail email campaigns.
- Schedule and post social media content and manage Pinterest boards and engagement.
- Conduct internet research to identify new leads and send cold outreach emails using templates.
- Prepare tradeshow follow-ups and new contact communications.
- Coordinate marketing and launch activities for new products.
- Revamp the website to focus on custom work.
- Optimize website pages, content, and product listings for SEO.
- Add new shops, press features, and custom projects to the website portfolio.
What We're Looking For
- Comfort working in Shopify and ability to learn Faire quickly.
- Experience using Asana or similar task management applications.
- Adobe Illustrator and Photoshop experience.
- Strong organizational skills and comfort building/refining systems and processes for delegation.
- Reliable ownership of B2B and e-commerce workflows (orders, invoices, fulfillment tracking) with high accuracy.
- Clear, proactive communication and readiness to suggest process improvements.
Nice to Have
- Experience with Pipedrive or similar CRM tools.
- Experience with email marketing, including wholesale/retail campaigns, templates, and basic list management.
- Light social media experience for product-based brands.
- Familiarity with product-based operations (wholesale, inventory, working with manufacturers).
- Ability to prepare print-ready files and comfort working with Illustrator/Photoshop.
