About the Role

The City of Jonesboro is hiring an Executive Assistant to serve as a critical communications conduit between the City Manager, Mayor, city employees, and the public. You will provide comprehensive administrative and technical support to ensure effective and timely communication flow and project management within the executive office.

What You'll Do

  • Assess incoming communications to determine priority and facilitate timely responses.
  • Manage high-priority projects, often involving Department Directors and senior staff.
  • Relieve executive management of routine requests and manage office details.
  • Prioritize and channel communications from department heads through the City Manager and Mayor.
  • Research statistical and administrative information and analyze administrative projects.
  • Manage purchasing activities, prepare requisitions, and gather quotes for submission.
  • Anticipate, identify, and troubleshoot issues of significance, providing updates to stakeholders.
  • Coordinate travel arrangements, accommodations, and conference registrations.
  • Process forms and applications related to department services.
  • Assist with a variety of operations-based projects and executive secretarial duties.
  • Support all City special events, which may require weekend and after-hours work.
  • Help lead a culture of service, professionalism, and continuous improvement.
  • Use computer software to prepare documents, and manage incoming/outgoing mail.
  • Monitor City Boards and membership appointments and terms.
  • Prepare, type, and proofread a wide range of documents, reports, and correspondence.
  • Coordinate complex meetings and assist in preparing presentations.
  • Independently respond to letters and general correspondence.
  • Maintain appointment schedules and calendars, and arrange meetings.
  • Assemble meeting materials, prepare agendas, and record actions.
  • Provide follow-up and status reports on assignments given to management staff.
  • Prioritize tasks effectively and report incomplete or insurmountable issues.
  • Maintain confidentiality of all department documentation.

What We're Looking For

  • Aged 18 years or older.
  • 5 years of increasingly responsible secretarial and administrative support for management.
  • Associate’s degree or equivalent experience.
  • Knowledge of municipal departments, their functions, and contact information.
  • Exemplary customer service skills with the public, elected officials, and staff.
  • Skill in operating modern office equipment and Microsoft Office, including Excel.
  • Ability to perform accurate typing (60wpm) and data-entry.
  • Proper spelling, grammar, punctuation, and basic mathematical computations.
  • Ability to manage multiple interruptions and adjust priorities throughout the day.
  • Ability to write reports, business correspondence, and short correspondence.
  • Ability to effectively present information and respond to questions.
  • Ability to read and interpret a variety of documents.
  • Ability to maintain confidentiality.

Nice to Have

  • Experience working for a Chief Executive Officer or top manager.
  • Bachelor's degree.

Team & Environment

You will report directly to the City Manager and will be a key member of the executive office team, helping to support the vision, mission, and guiding principles of the city.
