HireHawk was looking for an Executive Assistant (PST) - PH - 08152025

HireHawk is hiring an Executive Assistant to provide dedicated administrative and personal concierge support to physicians and senior management at a leading medical practice. You will manage complex logistics, handle confidential correspondence, and ensure smooth operations across the organization.

What You'll Do

  • Own physician and management scheduling, coordinating multiple calendars and resolving conflicts.
  • Arrange comprehensive personal and professional travel, including bookings and contingency plans.
  • Prepare and review high-quality, accurate presentations and PowerPoint decks.
  • Draft professional correspondence and communications for physicians.
  • Maintain databases and key records with 100% accuracy.
  • Coordinate information flow between the Director of Operations, Assistant Director, and physicians.
  • Handle phone-based scheduling when email scheduling is restricted.
  • Protect the confidentiality of sensitive medical and operational information.
  • Support special projects with high-quality deliverables under tight deadlines.

What We're Looking For

  • A minimum of 4 years in executive or administrative support, preferably in healthcare or physician-facing roles.
  • Proven success managing complex scheduling for multiple executives.
  • Expertise in PowerPoint, Excel, email management, and database administration.
  • C1-level English proficiency in both spoken and written communication.
  • Ability to work 100% aligned to PST hours.
  • Strong attention to detail and accuracy in all deliverables.
  • Demonstrated professionalism handling confidential and sensitive information.

Nice to Have

  • Prior experience supporting physicians or working in a medical setting.
  • Experience handling personal concierge tasks for executives.
  • Familiarity with AI tools for presentation and document creation.
  • Multilingual skills in Japanese or Spanish.
  • Advanced PowerPoint design skills.
