Rockefeller Philanthropy Advisors is hiring an Executive Assistant to support the Chief Technology Officer of a fast-growing, well-funded startup shaping the future of the commercial contracting industry. You will serve as a strategic partner, optimizing the CTO’s productivity through proactive scheduling, communication, and cross-functional coordination.
What You'll Do
- Manage and prioritize the CTO’s calendar, ensuring seamless coordination of meetings and events across teams, partners, and investors.
- Act as the primary point of contact for the CTO, drafting and managing internal and external communications, presentations, reports, and agendas.
- Coordinate technology team meetings, product reviews, and leadership sessions, ensuring materials, logistics, and follow-ups are effectively handled.
- Plan and manage complex travel arrangements, itineraries, and expense reports with attention to detail and flexibility for last-minute changes.
- Support operational and strategic projects by tracking milestones, gathering information, and managing internal and external communications.
- Handle sensitive company and personnel information with the highest level of confidentiality and professionalism.
- Implement and improve processes to enhance the efficiency of the CTO’s office and the broader technology function.
- Maintain organized records of critical documents including contracts, compliance forms, and security documentation.
- Collaborate with the Talent team to coordinate high-level hiring efforts, including interview scheduling and candidate communication.
What We're Looking For
- 3+ years of experience supporting C-level executives, preferably within a high-growth SaaS or tech startup environment.
- Outstanding organizational, time management, and communication skills—both written and verbal.
- Discreet and professional in handling confidential information and executive-level correspondence.
- Strong command of Google Workspace (Gmail, Calendar, Drive), Slack, and modern productivity and project management tools.
- Ability to manage competing priorities under pressure with a proactive and resourceful mindset.
- Comfortable anticipating executive needs and taking initiative without constant direction.
Nice to Have
- Bachelor’s degree or equivalent experience.
- Familiarity with product or engineering environments and an interest in SaaS or commercial technology solutions.
