Responsibilities
- Assist Escrow Officers in opening new escrow files and ordering preliminary title reports across multi-state services
- Prepare escrow instructions, amendments, and related documents in accordance with different state escrow regulations
- Coordinate with buyers, sellers, real estate agents, lenders, and title companies to collect required documents and information
- Track contingency removal deadlines, loan approval timelines, and closing dates
- Review and reconcile lender loan packages and closing disclosures
- Prepare settlement statements (HUD-1 / ALTA closing disclosures) under the direction of the Escrow Officer
- Disburse funds and record documents upon close of escrow
- Maintain and balance escrow trust accounts in compliance with DFPI requirements
- Serve as a point of contact for all escrow-related inquiries from clients, agents, and lenders
- Provide timely and professional updates to all transaction parties throughout the escrow process
- Coordinate the signing of escrow instructions and closing documents
- Maintain organized and complete escrow files, both physical and electronic
- Ensure all transactions comply with state escrow laws, RESPA, CFPB guidelines, and company policies
- Assist in preparing files for audits and regulatory review
- Adhere to anti-money laundering (AML) and Bank Secrecy Act (BSA) requirements
Requirements
- Minimum 3 years of escrow experience in Michigan (multi- state experience is preferred)
- Familiarity with escrow procedures, terminology, and documentation
- Proficiency with escrow software (e.g., Qualia)
- Strong Microsoft Office & Google Suite skills (Word, Excel, Outlook, sheets)
- Excellent written and verbal communication skills
- Exceptional organizational skills and ability to manage multiple files simultaneously
- Ability to maintain strict confidentiality and handle sensitive financial information
Nice to Have
- Experience with multi-state escrow (independent escrow) companies
- Knowledge of RESPA, TRID, and CFPB closing disclosure requirements
- Notary Public commission is a plus
