About the Role

Baylor College of Medicine is looking for a Coordinator, Business Operations to provide comprehensive administrative and operational support for the Pediatrics clinical division. You will ensure efficient departmental function by coordinating key activities across clinical services, education programs, and research operations.

What You'll Do

  • Answer the department main phone line, screen and route calls, and maintain contact lists.
  • Assist with department mail and maintain a division shared email inbox and calendar.
  • Create Award Letters from Faculty on letterhead.
  • Work collaboratively with other assistants to ensure efficient administrative functions.
  • Learn TCH's applications and administrative processes to serve as a go-to resource for Faculty.
  • Prepare and process purchasing orders.
  • Compose formal and informal correspondence, including creating and formatting presentations.
  • Manage calendar scheduling and maintenance for faculty.
  • Provide administrative support to faculty and their programs, including scheduling, meeting coordination, note-taking, and participation in team huddles.
  • Manage Faculty CV maintenance.
  • Assist with planning and organizing special departmental events.
  • Serve as travel arranger for faculty conferences and prepare reimbursements in Concur.
  • Coordinate and monitor faculty credentialing with hospital and billing departments, preparing reappointments.
  • Ensure faculty complete all required trainings, certifications, and renew medical licenses and DEA.
  • Assist faculty by pulling articles for publications or book chapters.
  • Maintain resource files for medical students and assist faculty or students with requests.
  • Maintain the division's shared Master Learner Schedule.
  • Coordinate rotations for NP Students, Residents, and Medical Students.
  • Collate and distribute learner schedules from web-based scheduling programs (eValue, BCM Admin Academic Portal, AmIOn).

What We're Looking For

  • High School diploma or GED.
  • Two years of relevant administrative experience.

Nice to Have

  • Proficiency in Microsoft Outlook, especially calendars.
  • Healthcare administrative support experience.
