Role Overview
This 12-month term position supports product and customer teams within the pharmaceutical sector, based in Mississauga, Ontario. The Coordinator ensures smooth operational execution by managing marketing-related logistics, financial tracking, and internal coordination across multiple initiatives.
Key Responsibilities
- Organize logistics for industry conferences, advisory boards, consultant meetings, and engagements with Thought Leaders, including travel, accommodations, and venue arrangements
- Handle sponsorship coordination and international travel logistics for global partners
- Manage speaker arrangements for national events and oversee booth production and setup
- Process honoraria, grants, and expense reports in alignment with company policies
- Generate purchase orders following procurement guidelines and assist with onboarding new vendors
- Track brand-related marketing and promotional expenditures, aligning spend timing with project progress to maintain 95% accrual accuracy
- Monitor monthly and year-to-date advertising and promotion budgets in coordination with brand teams
- Support internal communications, meeting planning, agenda development, and follow-up actions for leadership team sessions
- Assist with creative projects, team-building activities, and internal fundraising initiatives
- Maintain proficiency in internal systems and contribute to improving team workflows and timelines
- Respond promptly to vendor and stakeholder inquiries, resolving issues efficiently
Qualifications
Candidates must hold a post-secondary degree in marketing, business, or a related field, along with 3–5 years of experience in marketing operations or administrative support. Strong organizational abilities, attention to detail, and familiarity with accounting fundamentals are essential. The role requires effective communication skills, adaptability in evolving environments, and the ability to manage multiple priorities simultaneously.
Bilingual proficiency may be beneficial but is not required.
Work Environment
This role operates in a flexible hybrid model, with regular on-site presence expected at the Mississauga office. The position offers work-life balance through flexible scheduling and remote work options as permitted.
Compensation and Benefits
The base salary ranges from $64,800 to $94,200 annually, with Total Direct Compensation (including performance incentives) between $69,000 and $103,600.
