The Chicago School (TCS) System is hiring an ALSA Coordinator to join its Accreditation, Licensure, and State Authorization (ALSA) Office. In this role, you will provide essential administrative and project support for departmental, campus, and accreditation initiatives, including licensure audits and state authorization submissions. Some travel of approximately 6-10 weeks per year is required to support campus and program site visits.
What You'll Do
- Provide daily administrative and project support for the ALSA Office.
- Draft and edit routine correspondence and announcements.
- File and retrieve documents, records, and reports.
- Perform general office duties including ordering supplies, maintaining records management systems, and performing basic bookkeeping.
- Submit invoices for payment and track check requests.
- Assist with travel arrangements and expense processing.
- Assist with data collection, report writing, and planning for institutional and programmatic accreditation.
- Provide regular written updates to the institution about ALSA activities.
- During site visits, arrange travel and hotel accommodations for visiting team members and staff.
- Assist program faculty and staff during specialized accreditation site visits with scheduling and logistics.
- Coordinate alumni surveys between the Office of Institutional Research (OIR) and academic programs.
- Assist with the maintenance of the ALSA websites and the revision of institutional documents.
- Oversee the maintenance and accuracy of the academic affairs directory.
- Maintain and update the annual licensure audit, leading the mid-year review and annual audit.
- Update disclosures with the Director of ALSA.
- Act as a support between Program Chairs and students when letters of support are needed.
- Work directly with Program Chairs for all licensure reviews and updates.
- Work with Legal Affairs for approval of all licensure disclosure changes to ensure compliance.
- Maintain communication with Legal Affairs to interpret and implement new or existing laws.
- Organize submissions for identified states as needed for continued authorizations.
- Manage and submit annual state authorization renewals for determined states.
- Complete an annual audit and gap analysis.
- Assist with planning, coordination, and scheduling of accreditation meetings.
- Prepare support materials for meetings, track action items, and prepare meeting minutes.
- Complete special projects and other duties as assigned.
What We're Looking For
- One year of administrative experience.
- Excellent written and verbal communication and comprehension skills.
- Proficiency with commonly used programs (Microsoft Word, Excel, PowerPoint, Outlook, etc.).
- Good organizational skills and strong attention to detail.
- Ability to manage and prioritize multiple tasks efficiently.
- Ability to take initiative and work independently with sound judgment and problem-solving skills.
- Ability to manage professional and interpersonal relationships and interact effectively with diverse members of the institutional community and outside constituencies.
Nice to Have
- Bachelor’s degree.
- Administrative experience in a higher education setting.
