About the Role

The Administrative Coordinator will manage facilities tasks and coordinate logistics for events, providing essential administrative and operational support to ensure efficient functioning and professional event delivery.

Responsibilities

  • Coordinate logistics for meetings, conferences, and special events
  • Manage room bookings and scheduling across multiple locations
  • Oversee setup and arrangements for event spaces
  • Assist with vendor coordination and service agreements
  • Maintain event checklists and timelines
  • Ensure compliance with safety and access protocols
  • Support audiovisual setup and technical needs
  • Track facility usage and report on space utilization
  • Respond to facility-related inquiries and requests
  • Assist in preparing event documentation and materials
  • Monitor inventory of supplies for events and offices
  • Coordinate maintenance and repair requests
  • Liaise with building management and security teams
  • Support health and safety inspections
  • Assist in developing event run-of-show documents
  • Track event attendance and participation data
  • Prepare post-event summaries and feedback reports
  • Ensure facilities meet accessibility standards
  • Manage keys, access cards, and entry systems
  • Support move coordination for office reconfigurations
  • Maintain cleanliness and organization of shared spaces
  • Assist with emergency preparedness planning
  • Coordinate catering logistics for events
  • Track service contracts for facility vendors
  • Provide backup support for reception and front desk

Compensation
