VON Canada is looking for an Administrative Assistant I, Home Support to join our Ontario team. In this full-time role, you will provide essential administrative support functions, acting as a key resource for the site management team and ensuring VON delivers quality service to the public.
What You'll Do
- Respond to general inquiries by answering telephone calls and greeting/directing staff, volunteers, clients, and visitors.
- Manage incoming and outgoing correspondence, including mail pick-up and drop-off.
- Schedule and organize meetings and appointments as requested.
- Prepare general correspondences, memos, forms, minutes, reports, and other documents.
- Manage accurate, secure, and confidential filing systems for client, personnel, and general files.
- Input data and produce reports, statistics, and information as directed.
- Order and maintain an inventory of required office supplies.
- Collaborate with teams to organize logistics for special projects, events, and seminars.
- Receive and receipt donations and bill payments, and prepare bank deposits.
- Assist in standardizing processes and forms, and updating policies and manuals.
What We're Looking For
- Post-secondary education in office administration or a related field, or equivalent relevant experience.
- Proficiency in Windows OS and the MS Office Suite.
- Excellent oral and written communication skills.
- Strong organizational skills with an ability to prioritize and multi-task.
- Excellent customer service skills and a high level of accuracy and attention to detail.
- Able to work both independently and within a team.
- Ability to maintain confidentiality at all times.
- A satisfactory criminal records and vulnerable sector check.
Nice to Have
- Experience with scheduling software and Cognos.
- Experience working in a unionized environment.
