About the Role

American Airlines is looking for a Staff Assistant I to perform a wide variety of office and administrative duties supporting station operations. You will be a key member of the Airport Stations Team within the Customer Experience Division, ensuring smooth day-to-day function.

What You'll Do

  • Perform office duties including coordinating meetings, typing, filing, ensuring telephone coverage, greeting customers, handling mail, ordering supplies, and reconciling P-card spending.
  • Provide assistance with preparation of management presentations and special projects.
  • Administer, review, and monitor all local invoices through InvoiceWorks.
  • Troubleshoot and escalate office technology issues, including telephone and copier machines.
  • Track and ensure employees complete onboarding duties, including system access, lockers, uniforms, badges, and training.
  • Assist in station event planning, coordination, and execution.
  • Handle payroll processing in Workbrain for management and support staff.
  • Process bereavement letters and coordinate local communications.
  • Manage employee parking, including permitting and assignments.
  • Assist with timekeeping functions, data entry, verification, reconciliations, and filing.
  • Maintain employee files and station meeting plans, including monthly emergency response.
  • Access and manage various periodic reports, including performance, audit, expense, and employee engagement.
  • Update required manuals and file all security-related items.
  • Act as backup for various payroll functions.
  • Manage records for OSHA, safety, etc.
  • Assist with budget preparation and reconciliation, including monthly closeout of landing fees.
  • Support auditing activities as required.
  • Track and verify incentive funds earned.
  • Liaise with CRE/Facilities and vendors to track local projects.
  • Lead/direct work with other support staff as needed.

What We're Looking For

  • High School diploma or GED.
  • Previous office/clerical experience.

Technical Stack

  • Microsoft Office: Word, Excel, PowerPoint, Outlook
  • InvoiceWorks
  • Workbrain
