The Trustees of the University of Pennsylvania are hiring a Scheduler for Scheduling & Event Services (Space Planning & Operations) to support the School of Medicine complex. You will provide service and support for space scheduling and event coordination, working with a team in a world-renowned academic and research institution dedicated to interdisciplinary scholarship.
What You'll Do
- Provide administrative and scheduling support to the Scheduling and Event Service team.
- Receive and respond to emails and phone calls; monitor dashboard and process reservations.
- Email event confirmations and other correspondence; create floor plans.
- Electronically file and distribute event reports and correspondence.
- Verify accurate and complete information on requests; direct requests to appropriate staff or departments.
- Respond to space requests and service requests including AV, Security, Event Support, and Housekeeping.
- Assign support staff based upon SES procedure or input from senior staff.
- Coordinate and proofread the daily worksheet report to determine daily and weekly support schedule in preparation for Daily Operations Meeting.
- Act as an administrative assistant for the workgroup.
What We're Looking For
- High School diploma or GED
- 3 to 5 years related experience, or equivalent combination of education and experience
Nice to Have
- Associate’s Degree
- Familiarity with an academic medical environment
Technical Stack
- Database and/or scheduling systems, preferably EMS
- Personal computer
- Photocopier
Team & Environment
Works closely with Associate Director and Scheduling staff. This role reports to the Sr. Director and Associate Director.
