Tahoe Forest Health System is hiring a Receptionist Front Office to perform essential front office duties that maintain efficient workflow for our practice. You will be the welcoming face of our clinic, ensuring patients and visitors receive excellent service from their first point of contact.
What You'll Do
- Greet and receive visitors, determine the nature of their business, and direct them appropriately.
- Register patients by obtaining and verifying accurate demographic and insurance information.
- Enter data into the computer system to maintain up-to-date office and patient records.
- Schedule and maintain appointments based on provider and service-specific requirements.
- Review physician daily schedules for appropriate visit lengths and types.
- Inform providers of scheduled procedures and communicate significant schedule changes to the back office, provider, and Practice Lead.
- Schedule ancillary tests per provider practice or assist patients in scheduling ancillary services.
- Document and follow up on no-shows in accordance with policy and make appointment confirmation calls.
- Answer the phone promptly and answer questions within your scope, route calls, or take detailed messages.
- Retrieve voicemail messages and return or route calls as appropriate.
- Provide the first level of resolution with patients, involving the Practice Lead for the second level when needed.
- Collect and post payments, office co-pays, deductibles, and self-pay balances at the time of service.
- Balance cash, complete daily cash reconciliation, and prepare the daily deposit following protocol.
- Ensure the accurate completion of medical record requests and prepare charts for the next day’s appointments.
- Handle the flow of patient reports and route them to the appropriate practitioner for review and signatures.
- Obtain test results and records as requested by medical providers.
- Access and maintain information in various electronic health records (EHR) systems.
- Ensure downtime binders are maintained daily.
- Maintain proficiency with practice management, EHR, hospital registration, and results retrieval systems.
- Provide general office support including handling mail, photocopies, faxing, and mailing documents.
- Work closely with Practice Leads on processes and procedures, including training staff.
- Assist with maintaining the cleanliness of the office and waiting area.
- Maintain par levels of all forms and office supplies, reporting deficiencies to the Practice Lead.
- Assume opening and closing duties as needed.
- Work as part of an implementation team for any project within the MSC as directed.
- Demonstrate System Values in performance and behavior and comply with System policies and procedures.
What We're Looking For
- 6 months to 1 year of related experience.
- Proficient in Microsoft Outlook.

Benefits & Compensation
- Compensation: $26.60/hour + DOE (Depending on Experience).
