ClearView Healthcare Partners is hiring an Office Manager

Responsibilities

  • Maintain smooth, coordinated, and welcoming office operations across internal teams.
  • Share timely updates about office changes with the wider organization.
  • Propose enhancements to improve workplace conditions and employee satisfaction.
  • Oversee administrative or reception staff to ensure office and kitchen supplies are consistently stocked.
  • Lead programs such as company meetings, ergonomic assessments, and workplace services.
  • Prepare the office for employees and guests, including onboarding setups and access provisioning.
  • Keep the office seating layout updated and assist with long-term space planning.
  • Support office relocations, renovations, and fit-out projects.
  • Organize meetings and on-site logistics, including agendas, notes, room bookings, catering, and vendor arrangements.
  • Collaborate with corporate departments like IT, HR, Finance, Compliance, and Facilities on office initiatives.
  • Serve as the main contact for external vendors such as building management and maintenance services.
  • Negotiate and oversee service contracts to ensure quality, compliance, and cost efficiency.
  • Manage the office budget and support Finance with annual planning cycles.
  • Enforce compliance with local safety regulations and internal policies, including emergency preparedness.
  • Act as the primary point of contact for building security and access systems.
  • Coordinate with global Office Managers to standardize practices and service delivery.
  • Gather stakeholder feedback and suggest improvements to office processes.
  • Promote an inclusive, positive, and connected workplace culture aligned with organizational values.
  • Track office activities and ensure programming enhances employee experience.
  • Plan and manage events such as town halls, social gatherings, client visits, and recruitment sessions.
  • Identify ways to improve workplace safety, team engagement, and employee well-being, sharing insights with HR.
  • Encourage involvement in programs that build culture and interdepartmental relationships.
  • Supervise administrative and reception staff with clear expectations and balanced workloads.
  • Provide ongoing coaching, performance feedback, and development support to team members.
  • Conduct formal performance evaluations and maintain regular performance discussions.
