About the Role
The New Patient Coordinator ensures a smooth and supportive experience for individuals beginning care by managing intake logistics, answering questions, and connecting patients with the appropriate resources ahead of their first visit.
Responsibilities
- Guide new patients through onboarding procedures
- Verify and collect required documentation prior to appointments
- Respond to inquiries via phone and email in a timely manner
- Schedule initial and follow-up appointments
- Maintain up-to-date patient records
- Confirm insurance eligibility and coverage details
- Provide clear instructions for pre-visit preparations
- Coordinate with clinical staff to ensure smooth transitions
- Track patient progress through the intake pipeline
- Address patient concerns with empathy and professionalism
- Update internal systems with patient status changes
- Follow up with patients who miss communications
- Ensure compliance with privacy and data protection standards
- Assist in refining onboarding workflows based on feedback
- Prepare welcome materials for distribution
- Support team efforts during high-volume periods
- Report weekly on key intake metrics
- Participate in training for new tools and protocols
- Escalate complex cases to designated team members
- Maintain consistent communication standards across channels
Nice to Have
- Associate degree in health sciences or related field
- Two or more years in patient services
- Experience with appointment scheduling platforms
- Knowledge of medical terminology
- Prior exposure to HIPAA compliance procedures
