About the Role
The Intake Specialist serves as the first point of contact for new clients, managing the initial stages of service enrollment with accuracy and empathy.
Responsibilities
- Conduct initial phone screenings with prospective clients to assess eligibility
- Collect and verify personal and insurance details for service qualification
- Explain service offerings and answer questions about the onboarding process
- Enter client data into secure systems with high attention to accuracy
- Coordinate with insurance providers to confirm coverage and benefits
- Maintain confidentiality and compliance with privacy regulations
- Follow up with clients to obtain missing documentation
- Provide updates to internal teams on client status and needs
- Support the development of efficient intake workflows
- Respond to client inquiries via phone and email in a timely manner
- Track and report key metrics related to intake volume and turnaround time
- Escalate complex cases to appropriate team members
- Ensure consistent communication across departments during client handoffs
- Stay current on changes to insurance policies and service requirements
- Assist in training new team members on intake procedures
- Identify opportunities to improve the client experience during onboarding
- Maintain organized records for all intake interactions
- Adhere to company protocols for data entry and verification
- Work independently while meeting performance benchmarks
- Collaborate with scheduling and clinical teams to ensure seamless transitions
