The Administrative Support Specialist will assist the Migration Services Team by engaging with clients, inputting data into management systems, organizing digital records, and executing administrative functions. This role demands direct client interaction within a dynamic environment while maintaining professional standards for precise information capture and high-quality communication. The position collaborates closely with all migration team members and reports to the Lead Legal Counsel. Primary Responsibilities: • Maintain comprehensive understanding of HAO's Spokane service acceptance guidelines, including enrollment criteria across migration legal service programs and funding streams. • Coordinate client appointments with legal professionals, ensuring follow-up through reminder communications. • Process client inquiries via multiple communication channels, addressing standard concerns and appropriately redirecting complex queries to specialized team members. • Manage incoming official correspondence, digitizing and categorizing documentation. • Construct and maintain comprehensive case documentation according to established protocols. • Digitize and prepare case-related materials for official submissions. • Strictly adhere to confidentiality standards and legal practice boundaries. • Execute supplementary tasks as directed by leadership. Position Requirements: • Bilingual proficiency strongly preferred, with exceptional English communication skills. • Superior organizational capabilities and meticulous attention to detail. • Demonstrated interest in migration legal services. • Proven cross-cultural engagement experience. • Exceptional self-management and problem-solving skills. • Capacity to operate independently and collaboratively. • Advanced technological proficiency across office software platforms. Work Context: • Standard office environment in Spokane, with potential flexible scheduling. • Reliable transportation required for potential off-site program support. Compensation Range: $19 - $20 hourly, with variations based on qualifications and regional market factors.
