About the Role
Provide comprehensive administrative support for remote operations, including data management, research, scheduling, and client communication.
Responsibilities
- Maintain and categorize digital documents and files systematically.
- Perform data entry tasks such as creating lead lists, transcribing audio, recording meeting minutes, managing payroll data, and organizing research notes.
- Research products, make purchases, and obtain samples as needed.
- Manage, update, and retrieve data for marketing and sales initiatives using a CRM platform.
- Generate and distribute invoices or statements, monitor payments, and log business expenses.
- Collect and analyze public data on market trends and industry practices, then prepare reports for comparative insights.
- Track project progress, facilitate internal communication, and organize company information.
- Manage team calendars to avoid scheduling overlaps and ensure timely client meeting preparation.
- Plan travel itineraries and arrange accommodations, car rentals, and related logistics.
- Handle incoming calls by relaying messages and place outgoing calls to schedule appointments or gather information.
- Respond to emails, manage correspondence follow-ups, organize inboxes according to preferences, and flag critical messages.
- Complete various on-demand administrative tasks as assigned.
Requirements
- Minimum of 6 months to 1 year of experience working as a Virtual Assistant.
- Must be at least 18 years old and have completed Senior High School education.
- Strong communication abilities in phone, email, and instant messaging formats.
- Demonstrated organizational and time management capabilities.
- Ability to work during overnight shifts.
- Proficient with modern technology, including desktop sharing, cloud-based services, and VoIP systems.
- Experience using word processing and spreadsheet applications such as MS Office.
- Familiarity with online calendar tools and scheduling platforms like Google Calendar.
- Proactive mindset with openness to training and skill development.
- Must have a USB headset equipped with noise-canceling functionality.
- Working webcam required for video communication.
- Must possess both a primary and backup computer, each with at least a 1.8 GHz processor and 4GB RAM.
- Primary internet connection must be wired with a minimum speed of 25 Mbps.
- Backup internet connection must offer at least 10 Mbps speed.
