The Executive Assistant will support the CEO of Paradox, an EdTech startup, by managing both business and personal operations. This role requires high autonomy, problem-solving skills, and the ability to systemize processes to free the CEO from day-to-day coordination and decision-making overhead.
What You'll Do
- Own the founder’s operating system: inbox, calendar, priorities, and follow-through
- Manage personal admin: banking, leases, visas, real estate, payments
- Coordinate travel and podcast logistics
- Investing & Real estate management
- Negotiate with banks, vendors, and service providers
- Benchmark pricing, terms, timelines, and market standards
- Support the complete follow-up of projects (contracts and negotiation of suppliers, administrative management of personnel, accounting management, reporting)
- Pre-screening for recruitment
- Find the best providers (lawyers, designers, movers, etc.)
- Proofreading contracts and coordinating projects with lawyers, suppliers
- Build scalable operating systems (processes, tools, AI, knowledge base)
- Ensure invoices, contracts, and documentation are consistently tracked and resolved
- Conduct continuous cost and tool audits
- Manage the onboarding of employees in Dubai (signature of contracts, administrative tasks)
- Sequence, systemize, delegate, and eliminate tasks so the CEO is no longer required for follow-ups, coordination, or problem solving
- Ensure decisions reach the founder prepared with options, trade-offs, and recommendations
- Ensure projects move forward with documented decisions and no drift
- Ensure clean numbers and controlled spend

- 3+ years of experience supporting C-Suite or a demanding founder
