Varicent is hiring an Executive Assistant (Costa Rica only, Remote)

About the Role

Varicent is seeking an Executive Assistant to provide key administrative support to the Executive Leadership Team. In this remote role based in Costa Rica, you will manage the day-to-day logistics and scheduling for approximately eight leaders, enabling them to focus on strategic priorities.

What You'll Do

  • Provide administrative support to approximately 8 executive team members, including scheduling, meeting coordination, and general logistics.
  • Support scheduling and coordination for executive-related meetings, including internal leadership and external engagements.
  • Coordinate domestic and international travel, including flights, hotels, ground transportation, and detailed itineraries.
  • Prepare, submit, and track expense reports, ensuring alignment with company policies.
  • Provide backup support for the Executive Assistant to the CEO, handling scheduling and urgent requests.
  • Support logistics for executive off-sites, leadership meetings, and team events, including catering and onsite coordination.
  • Assist with document preparation, data entry, correspondence, and general administrative tasks.
  • Support operational efficiency by helping standardize and streamline executive support processes.

What We're Looking For

  • 5+ years of experience in an administrative assistant, executive support, or operations support role.
  • Strong organizational and time-management skills with exceptional attention to detail.
  • Proficiency in managing multiple priorities and shifting deadlines effectively.
  • Excellent verbal and written communication skills.
  • Proficiency in the Microsoft Office Suite and expense management tools.
  • Ability to handle sensitive and confidential information with discretion.

Nice to Have

  • Experience supporting multiple leaders in a fast-paced or high-growth environment.
  • Post-secondary education in Business Administration or equivalent experience.

Team & Environment

You will provide dedicated support for approximately eight executive leaders, serving the broader Executive Leadership Team. This role also serves as backup to the Executive Assistant to the CEO.
