Montrose County is hiring a Clerk & Recorder Supervisor to provide comprehensive operational direction and leadership within the Clerk & Recorder’s Office. You will ensure compliance with Colorado State Statutes while coordinating services, policies, and programs. This role is central to improving efficiency and managing the department's critical functions.
What You'll Do
- Direct, supervise, train, and mentor department staff, including scheduling, performance evaluations, and ensuring work accuracy and compliance.
- Provide strategic leadership by developing and implementing departmental goals, work procedures, and workflow.
- Develop and update departmental objectives, strategies, policies, procedures, and manuals.
- Serve the public and partner agencies by responding to inquiries, explaining processes, resolving issues, and de-escalating stressful situations.
- Ensure compliance with all federal, state, local, and departmental policies and procedures.
- Compile detailed reports and formal documentation to support departmental functions.
- Train and audit staff work to ensure correct interpretation of statutes and policies.
- Oversee the accurate collection of taxes and fees, issuing receipts and recording transactions.
- Manage the recruitment, interviewing, selection, and onboarding of new staff.
- Maintain expertise in all computer software programs and specialized databases used by the department.
- Perform budgetary and fiscal duties, including maintaining the department budget and handling cash funds.
- Review all departmental materials for accuracy and completeness, making corrections as necessary.
- Oversee department filing systems and records retention protocols.
- Coordinate staff logistics for workshops, trainings, and meetings, and attend required training to maintain certification.
- Complete cash drawer audits and train team members on cash handling procedures.
- Be available for late hours and weekends, particularly leading up to and including Election Day.
What We're Looking For
- A high school diploma or equivalent.
- At least five (5) years of progressively responsible experience in an office environment.
- Knowledge of modern office management practices, procedures, and techniques.
- Excellent customer service and communication skills.
- Ability to organize and coordinate office functions to achieve organizational goals.
- Exceptional attention to detail, follow-through, and organizational skills.
- Self-discipline to interpret written statutes and follow exact procedures.
- Ability to act independently, exercise initiative, and coordinate assigned projects.
- Proven ability to manage, supervise, mentor, and train staff.
- Ability to review and interpret Colorado Revised Statutes, county policies, and departmental procedures to guide staff compliance.
- Ability to exercise independent judgement, organize work, and meet strict deadlines.
- Proficiency in operating specialized software and maintaining multiple databases essential to the Clerk & Recorder's Office.
- Ability to effectively navigate numerous websites (e.g., Clerk’s Corner, SOS, DOR, DRIVES).
- Strong language skills: ability to communicate complex information clearly and concisely in both verbal and written form to diverse audiences, write policies and reports, and make persuasive presentations.
Nice to Have
- A two-year associate's degree or equivalent work experience.
- At least two (2) years of experience as a supervisor or lead employee with progressively responsible management duties.
Team & Environment
You will receive general direction from the Chief Deputy Official and the Clerk & Recorder. You will exercise direct supervision over department staff.
Benefits & Compensation
- Bi-weekly salary range: $2,203.23 - $2,592.04 (depending on experience).
