Responsibilities
- Respond to incoming patient calls to assist with booking, modifying, and verifying appointments.
- Make outgoing calls to remind patients of upcoming visits, conduct follow-ups, and support outreach initiatives.
- Work closely with clinical personnel and supervisors to maintain accurate scheduling and optimize time allocation.
- Address patient questions and concerns professionally, courteously, and with empathy.
- Accurately update patient files, appointment details, and call logs within the scheduling or electronic medical records system.
- Help conduct audits of patient charts and scheduling data to verify correctness and regulatory compliance.
- Detect scheduling discrepancies, missed visits, or incomplete documentation and report them to relevant staff.
- Uphold strict confidentiality and comply with all HIPAA regulations and internal compliance standards.
- Offer administrative support to both management and clinical teams as needed.
- Assist with daily office functions such as data input, report generation, and document organization.
- Facilitate internal communication, information sharing, and task follow-ups across departments.
- Monitor, maintain, and report on scheduling metrics, logs, and related documentation as required.
- Coordinate with other departments to promote seamless operations and effective communication.
