Key Responsibilities Call Center & Scheduling • Manage incoming patient communications, facilitating appointment scheduling, rescheduling, and confirmation processes • Execute outbound communication for appointment reminders, follow-ups, and patient engagement • Collaborate with clinical personnel and leadership to optimize scheduling efficiency and time management • Deliver professional, compassionate patient interaction and support • Accurately document patient interactions, appointment details, and communication records in scheduling/electronic medical record systems Audits & Quality Checks • Conduct comprehensive chart and scheduling audits ensuring precision and regulatory compliance • Recognize and escalate scheduling discrepancies, appointment omissions, or documentation inconsistencies • Maintain rigorous confidentiality standards and strictly adhere to HIPAA and organizational compliance protocols Administrative Support • Provide comprehensive administrative assistance to management and clinical teams • Support operational requirements through data management, reporting, and record maintenance • Facilitate internal communication, coordinate updates, and manage interdepartmental follow-ups • Monitor and document scheduling-related performance metrics and reporting requirements • Promote cross-departmental collaboration to ensure streamlined workflow and transparent communication
