The San Diego County Regional Airport Authority is looking for an Administrative Assistant II to join the Quieter Home Program. In this role, you'll provide essential support for noise mitigation programs serving the community, thriving in a structured yet dynamic environment where managing multiple priorities and maintaining accurate records is key.
What You'll Do
- Prepare program-related correspondence and documents with accuracy and precision, including memorandums, reports, applications, agreements, amendments, forms, and other materials ranging from routine to complex.
- Serve as the program’s Records Coordinator by maintaining digital filing systems and ensuring records are accurate, accessible, and well organized.
- Draft, proofread, and format correspondence and documentation with close attention to detail.
- Receive and screen telephone calls and high-volume email communications from residents, contractors, consultants, and internal staff.
- Prioritize inquiries and route matters appropriately while handling sensitive situations with discretion, sound judgment, and professionalism.
- Maintain positive working relationships with internal teams and external stakeholders to support clear communication and effective program coordination.
- Provide a wide range of administrative support including managing office inventory, ordering supplies, and maintaining office equipment.
- Coordinate and confirm meetings for program staff, including scheduling, agenda preparation, note-taking, and distribution of minutes.
- Maintain calendars for program managers and assist with scheduling appointments, inspections, or meetings.
- Prepare travel and training requests, compile expense reports, and ensure timely processing of payments and registrations.
- Provide backup administrative support as needed to ensure continuity of operations.
- Assist with procurement activities by coordinating documentation related to RFPs and RFQs in accordance with organizational processes.
- Communicate with vendors, contractors, and consultants; prepare purchase requests; review invoices for accuracy; and assist with payment processing.
- Track program expenditures, maintain budget spreadsheets, and provide updates to management.
- Assist with monthly accruals and collaborate with accounting and finance teams to reconcile expenses and support budget forecasting.
- Provide administrative support for Quieter Home Program initiatives by coordinating logistics, tracking documentation and deliverables, and assisting with implementation of program activities.
- Utilize available tools and systems to support efficient program operations and timely completion of tasks.
What We're Looking For
- Graduation from high school or G.E.D. equivalent.
- Four years of increasingly responsible office administrative or secretarial experience.
- Equivalent combination of training and experience.
- Successful completion of a fingerprint-based background investigation, training, and testing required for employment and operation of Authority and San Diego County physical security, surveillance, radio and telecommunications equipment.

- Salary: Starting at $57,800. Full pay range: $49,402 to $79,042.

Work Mode
This is a hybrid position. Work locations include the Airport Authority’s Liberty Station campus, located in San Diego’s historic waterfront district.
