About the Role

Cherokee Nation is hiring an Administrative Assistant I to provide essential clerical support for an assigned department or program. You’ll be the operational backbone, ensuring smooth office function through detailed administrative work.

What You'll Do

  • Prepare and deliver outgoing mail; pick up, log, and distribute incoming mail.
  • Take dictation and transcribe notes from shorthand, machine, or voice recordings.
  • Compose and type routine correspondence, reports, forms, logs, and other required paperwork.
  • Maintain logs and lists; file correspondence and other records.
  • Answer telephones, provide information, route calls, and place outgoing calls.
  • Schedule appointments and greet visitors, ascertaining the nature of their business.
  • Arrange training and travel schedules and reservations for assigned personnel.
  • Record and transcribe minutes of staff meetings.
  • Make copies and fax information as requested.
  • Prepare and process Employee Action Notices, Purchase Requisitions, and Check Requests.
  • Maintain supplies for the assigned area.
  • Verify time cards and process timesheets for assigned personnel.
  • Coordinate meetings for supervisors, including establishing itineraries and preparing handouts.
  • Assist in budget preparation and control.
  • Maintain petty cash for the department.
  • Prepare billings and/or invoices as needed.

What We're Looking For

  • An Associate's degree from a 2-year college or technical school; OR two years (60 credit hours) of coursework from a 4-year college or university; OR three years of related experience; OR an equivalent combination of education and experience.
  • An additional two years of related administrative experience.
  • Knowledge of Database software, Internet software, Spreadsheet software, and Word Processing software.
  • Knowledge of general office procedures and practices.
  • Ability to operate a variety of office machines including a computer, photocopier, fax machine, Dictaphone, transcribing machine, and 10-key calculators.
  • Must not be and will not be under sanction by the United States Department of Health and Human Services Office of the Inspector General (OIG) or by the General Services Administration (GSA) or listed on the OIG's Cumulative Sanction Report, or the GSA's List of Excluded Providers, or listed on the OIG's List of Excluded Individuals/Entities (LEIE).
