Responsibilities
- Support the creation and implementation of workplace initiatives that reflect organizational values, employee needs, and business objectives.
- Collaborate with Events and People teams to foster in-person interactions that strengthen teamwork, engagement, and performance.
- Help shape a welcoming and consistent office experience for all on-site individuals, including employees, visitors, candidates, and clients.
- Identify ways to enhance office services, space utilization, workplace satisfaction, and operational effectiveness.
- Foster an environment of inclusivity, warmth, cooperation, and efficiency across designated office sites.
- Oversee daily operations at the San Francisco office and provide ongoing support to the Palo Alto location through regular visits and travel as needed.
- Manage essential office services such as catering, cleaning, maintenance, front desk operations, guest support, supplies, and facility readiness.
- Work with local leads and service providers to uphold uniform standards for quality and maintenance across offices.
- Coordinate preventive maintenance, space reconfigurations, repairs, and facility upgrades.
- Assist in rolling out standardized workplace policies and procedures in coordination with internal teams and local stakeholders.
- Monitor workplace budgets, review invoices, approve purchases, and track spending in collaboration with Finance.
- Develop and maintain proposals for workplace projects, including project scope, financial plans, timelines, justifications, and anticipated outcomes.
- Assess vendor performance, negotiate service enhancements, and find opportunities to reduce costs for facilities and services.
- Ensure workplace spending is properly categorized and supports broader organizational goals.
- Partner with internal groups to uphold health, safety, and emergency preparedness standards in the workplace.
- Organize emergency planning activities, drills, communications, and location-specific preparedness materials.
- Help ensure staff can access critical safety guidelines, emergency protocols, and workplace resources.
- Support adherence to company policies and local regulatory requirements for workplace environments.
- Develop strong cross-functional relationships with teams in People, Finance, IT, Security, Legal, Events, Recruiting, and business units.
- Communicate updates on workplace operations, changes, and expectations clearly to employees and leadership.
- Collect employee input and use insights to refine workplace offerings and the overall office experience.
- Engage stakeholders to support the successful implementation of workplace programs across locations.
