Responsibilities
- Serve as the primary on-site reception specialist, ensuring continuous front desk coverage and acting as the escalation contact for reception duties
- Offer daily guidance and operational support to team members handling reception and hospitality tasks
- Welcome visitors and direct them appropriately, creating a professional and positive initial experience
- Handle incoming phone calls, route messages, and respond to general questions
- Oversee visitor registration, office entry access, and badge issuance following site-specific protocols
- Coordinate employee seating arrangements and flexible workspace reservations as required
- Manage scheduling and logistics for conference rooms and respond to meeting space requests
- Ensure meeting rooms and shared areas are prepared and presented to a high standard
- Arrange catering and hospitality needs for internal and external meetings and events
- Keep conference rooms, pantries, and communal spaces clean and ready for use
- Step in to support complex or executive-level meetings when additional coordination is needed
- Provide supplementary support to hospitality functions during busy times or staffing shortages
- Facilitate daily collaboration between front desk, hospitality, and office operations teams
- Assist with office relocations, seating changes, and workspace modifications as necessary
- Help coordinate mail distribution, courier services, and internal package deliveries
- Support tracking of office supplies and shared assets to maintain inventory levels
- Fill in for general office operations during high-demand periods or coverage gaps
- Assist in managing visitor access procedures and badge logistics
- Support access setup and deactivation for new and departing employees in coordination with security partners
- Monitor visitor activity and report any access or safety concerns promptly
- Enforce compliance with established office security policies
- Report observed security incidents according to site guidelines
