About the Role
This position is responsible for managing end-to-end vacation planning processes, including itinerary coordination, vendor communication, and client support, all while working remotely and adapting to dynamic travel needs.
Responsibilities
- Organize travel itineraries based on client preferences and timelines
- Communicate with hotels, transportation providers, and tour operators
- Monitor booking confirmations and ensure all details are accurate
- Respond promptly to client inquiries and update them on planning progress
- Resolve scheduling conflicts or last-minute changes efficiently
- Maintain up-to-date records of client bookings and preferences
- Coordinate multi-destination trips with precise timing
- Provide recommendations for activities and dining based on location
- Track travel documents and deadlines for international trips
- Assist with visa and entry requirement research when needed
- Manage group bookings with attention to individual needs
- Update internal systems with booking changes and confirmations
- Escalate complex issues to senior coordinators when necessary
- Ensure compliance with company policies and travel regulations
- Prepare pre-travel briefing materials for clients
- Follow up after trips to gather feedback and improve service
- Stay informed about travel advisories and weather disruptions
- Support marketing with anonymized success stories
- Maintain confidentiality of client information
