This role serves as a critical support partner to senior leadership, managing complex scheduling, communications, and operational tasks to maintain organizational efficiency and enable strategic focus.
Responsibilities
- Coordinate executive calendars, including scheduling meetings, resolving conflicts, and preparing agendas
- Manage internal and external communications on behalf of leadership
- Organize domestic and international travel arrangements with attention to detail
- Prepare presentations, reports, and documents for leadership review and distribution
- Serve as a point of contact between executives and internal teams or external partners
- Track and follow up on action items from meetings and leadership directives
- Maintain confidentiality while handling sensitive information and communications
- Anticipate administrative needs and proactively implement solutions
- Support onboarding and integration of new team members within the executive environment
- Coordinate logistics for team events, offsites, and leadership meetings
- Manage expense reporting and ensure compliance with company policies
- Facilitate cross-functional collaboration by aligning priorities and timelines
- Contribute to process improvements in administrative workflows
- Assist in project coordination when assigned by leadership
- Ensure consistency in communication standards across written materials
- Maintain organized digital and physical filing systems
- Handle visitor coordination and executive meeting logistics
- Act as a cultural ambassador by modeling professionalism and responsiveness
- Support crisis management efforts with timely coordination and communication
- Monitor deadlines and deliverables related to executive initiatives
- Provide backup support to other administrative partners as needed
