Responsibilities
- Maintain and keep property data current in Eagle system
- Organize standard, move-in, and move-out property inspections
- Arrange and communicate with tradespeople and contractors for repair and maintenance tasks
- Track unresolved maintenance issues and ensure timely resolution
- Interact with tenants, property owners, and service providers through phone and email
- Support lease continuation processes and tenancy paperwork
- Handle processing of maintenance-related invoices and update records accordingly
- Oversee property compliance matters and assist with key management duties
- Create and format property management documents and written communications
- Keep detailed and up-to-date notes within the customer relationship management (CRM) system
- Oversee shared email accounts and scheduling calendars
- Provide daily administrative assistance to the Property Manager
- Prepare materials for property listings and sales agreements
- Post and manage online property advertisements
- Develop documents for property appraisals and listing presentations
- Coordinate property photography, floor plans, and promotional content
- Schedule property valuations, inspections, and settlement meetings
- Maintain and organize databases for buyers and sellers
- Respond to buyer inquiries and track potential leads
- Answer incoming calls professionally and route them appropriately
- Make follow-up calls to clients and prospective customers
- Draft correspondence, forms, and sales-related documents
- Ensure CRM entries are current and client data is accurate
- Assist real estate agents with routine administrative responsibilities
