Responsibilities
- Communicating with clients to clarify project goals, timelines, and permitting requirements
- Managing client correspondence including proposals, contracts, letters, and document transmittals
- Preparing regular status updates and progress reports for clients
- Coordinating personnel and contractors across local and national offices
- Submitting project materials to regulatory bodies, municipalities, and utility providers and reviewing their requirements
- Monitoring task progress and managing client-facing deliverables
- Supporting engineering teams with contract administration and collecting insurance documentation
- Producing, reviewing, and formatting technical documents and reports
- Handling logistical and administrative tasks such as scheduling meetings and maintaining project records for managers
- Receiving and processing purchase orders, setting up digital project files, and entering data into accounting systems
- Managing subcontractor purchase orders and tracking associated deliverables
- Reviewing and processing invoices from vendors and subcontractors, supporting billing procedures
- Providing administrative assistance including report compilation, printing, and document binding
- Resolving routine issues that may occasionally require adapting standard procedures
- Supporting project managers with financial tracking, budgeting, and invoicing activities
- Offering guidance and mentorship to junior team members
- Contributing to design work using CAD software
