Woolpert is hiring a Project Coordinator III

Responsibilities

  • Help project managers with initial project setup, resource allocation planning, budget formulation, and coordination with accounting and controls teams to meet internal standards.
  • Support tracking of project scope, timelines, and budgets, including managing change orders, invoicing, accounts receivable follow-up, and preparing monthly progress reports.
  • Analyze project contracts to extract key details for billing, insurance, and confidentiality obligations, and ensure project team members understand contractual terms.
  • Assist with subcontractor oversight by maintaining subconsultant records, preparing documentation, collecting statements of work, tracking amendment processes, and reviewing and coding invoices.
  • Support project monitoring and control functions, such as maintaining data tracking systems, updating change and issue logs, and performing other assigned project coordination tasks.
  • Contribute to the development and refinement of technical documents, including design rationales, narrative descriptions, and project justifications.
  • Establish and administer project Team or SharePoint sites upon request, and manage document control procedures through these platforms.
  • Perform electronic file management on servers, adhering consistently to established document handling policies and protocols.
  • Generate or verify reports from financial and accounting systems to support project oversight and compliance.
  • Support the production of deliverables through editorial review, formatting, assembly, and final compilation of project documents.
  • Manage multiple project-related responsibilities simultaneously across various assignments.
  • Collaborate with distributed teams across the United States and Europe using teleconferencing, videoconferencing, and organizational process tools.
  • Schedule and coordinate conference calls, document action items and meeting notes, and support internal follow-up and resolution efforts.
  • Follow established safety protocols and comply with company policies to ensure safe work planning and execution.
